Cancellation Policy
To ensure fair scheduling and availability for all clients, the following cancellation policy applies to all appointments.
At Kikoh Reiki, I understand that plans can change and that sometimes you may need to cancel or move an appointment.
At the same time, your appointment time — and the treatment space reserved for you — is booked specifically for you. My practice operates from tre atment rooms within Insight Matters, which requires a strict 48-hour cancellation policy for all room bookings.
For this reason, I kindly ask that you give as much notice as possible if you need to change your appointment.
48-Hour Notice
Appointments can be cancelled or rescheduled without charge when at least 48 hours' notice is provided.
Cancellations Within 48 Hours
Cancellations or requests to reschedule made less than 48 hours before your appointment are subject to the full appointment fee.
This is because the treatment room has already been reserved specifically for your appointment, and the room booking cannot be cancelled or changed at short notice. Unfortunately, I am still required to pay for the room even when an appointment is cancelled within the 48-hour period. I appreciate that this can sometimes feel strict, but this policy is in place to cover the treatment space that has been committed to your booking.
Same-Day Cancellations & No-Shows
Appointments cancelled on the day of your appointment, or failure to attend without prior notice, will incur the full appointment fee.
Same-day appointments are also non-refundable once booked, as the appointment and treatment space are reserved immediately for you.
Why the 48-Hour Policy?
I appreciate that 48 hours can sometimes feel like a long time, and I completely understand that unexpected things can happen.
The policy is not intended to be punitive. It reflects the booking conditions of the treatment space I use. Once your appointment is confirmed, I am committed to the room booking whether or not the appointment ultimately goes ahead. Giving at least 48 hours' notice allows sufficient time for the appointment and treatment space to potentially be offered to another client.
Emergencies & Exceptional Circumstances
I understand that genuine emergencies and unforeseen circumstances can happen. If something unexpected occurs, please contact me as soon as possible. I will always listen and consider the circumstances, although any cancellation fee that applies may still be payable because of the room booking commitment.
Re-booking
If an appointment is cancelled within the 48-hour period, I will be happy to help you find another suitable appointment, subject to availability. Please note that rebooking does not automatically remove any cancellation fee that has already become applicable.
How to Cancel or Reschedule
If you need to cancel or change your appointment, please contact me by phone or email as soon as you know. The more notice you can give, the better — it gives me the opportunity to offer your appointment time to another client.
Acceptance of Policy
By booking an appointment with Kikoh Reiki, you acknowledge that you have read and understood this cancellation policy and agree to the applicable cancellation terms.
